Trade Exhibitor Terms & Conditions
Site Application Forms
All trade exhibitors are required to have a CovidSafe Plan in place and to be produced on request. All the proper precautions and signage regarding hygiene, social distancing to be in place.
Set up/Pack Up Times
Exhibitors must list all product lines/services that they wish to display or sell. Only those items listed on the Site Application Form will be permitted to be sold. Every effort is made to ensure that there are no exhibitors with similar product lines in the immediate vicinity. In event that there are a number of siteholders offering the same or similar products applications will be dealt with on a first in best dressed basis and some applications may not be accepted.
Security
Parking is not permitted on the Showgrounds. Vehicles will be permitted onto the grounds to unload up until 9am and will not be permitted back onto the grounds until after 4pm.
Banned Items
In accordance with the Society’s charter to promote a family atmosphere and entertainment, we request that site holders respect the spirit of this charter and refrain from selling and exhibiting items of explicit and obscene nature or items promoting or referring to prohibited substances. The Society reserves the right to request that a site holder remove any item deemed to contravene with this condition.
- Must be returned by Friday 28 October 2022 (unless otherwise specified)
- Bookings will be accepted on the Society’s Site Application Form only
- Any application for space not necessarily accepted
- Allocation of space is at the discretion of the Noorat & District Agricultural & Pastoral Society
- The Society reserves the right to relocate any site holder as it deems fit

Set up/Pack Up Times
- Siteholders can set up on the Friday. Please contact the Secretary if set up is required prior to that to ensure that you are on the correct site as site marking may not have been completed.
- Indoor sites can set up on Friday from 3pm.
- Exhibits/Stalls must be in place by 9am and are expected to remain in place until 4pm.
- Please note: Exhibitors will not be permitted to set up until all paperwork is in place and full payment made.
- Siteholder vehicles must be off the grounds by 9am when the main gates will be closed to vehicle traffic and are not permitted onto the grounds again until after 4pm.

Security
- Security will be on the grounds on Friday night prior to the Show.
- Exhibitors are responsible for security of personal belongings including commercial stock during set up, during the Show and clean up.

LIST OF BANNED ITEMS 2022 - 2023
The Victorian Showmen’s Guild and Victorian Agricultural Shows Ltd have agreed that the following items are banned at Agricultural Shows. It is our view and aim to protect and attract families to the Local Shows.

GENERAL REGULATIONS
- The provision of dividers, tables and any other display materials are the siteholders’s responsibility and cost.
- The Society shall not be held liable for any loss or damage incurred by the site holder whilst on the show site.
- The site holder shall at all times comply with the directions given by the Show Secretary or delegate whilst the site holder is on the show site.
The use of amplifiers or loud speakers by any site holder is prohibited without prior written approval of the Society.
Use of Electrical Power
- There is a fee of $10/appliance which is to be included on the site application form.
- Electrical leads and fixtures are the responsibility of the site holder.
- All electrical leads will be inspected and MUST BE safety tested and tagged with the tag current for the period of the Show.
- Power points are allocated on a “first come first served” basis.
- Proof (copy) of adequate public risk insurance (minimum $10m) must be provided when lodging your Site Application. If you do not have Public Liability Insurance, and are NOT an ABN registered business, an insurance levy of $10.00 must be paid with your site fee. Cover will be provided on the understanding that the siteholder is liable for the first $1,500 for each and every claim.
- Product Liability Insurance: Exhibitors selling or exhibiting goods of any description MUST carry product liability insurance including (but not limited to) cover for loss, damage and theft for the duration of the show. Product Liability cover CANNOT be provided by the Show Society insurance under any circumstances.
FOOD VENDORS
No obstruction is to be placed in the way of access to Fire Extinguishers, Fire Hydrants, Hoses or Exits. At all times there must be access along all roadways for emergency vehicles.
HOUSEKEEPING/CLEANING
The Exhibitor is responsible for the cleaning and condition of their site(s) during and at the close of the Show.
EMERGENCY & ENVIRONMENTAL HEALTH SAFETY
- Exhibitors selling any food or beverage are required to be currently registered under the Food Act and have in place a Food Safety Program, which covers off-site events. A copy of your current Food Registration must accompany your Site Application Form.
- All Food Vendors must be registered with their principle Council and Streatrader. For further information visit the Corangamite Shire website and Streatrader website
- Showmen’s Food Lines – The following food lines including: “Dagwood Dogs – Waffles – Toffee Apples – Fairy Floss” are absolutely restricted to Showmen’s Guild sales only. Vendors selling these products outside the Guild area will be asked to remove them.

- An emergency plan is in place for the Noorat Show. Exhibitors must operate within the Noorat Show EH&S Guidelines.
- Exhibitors must ensure their site and surrounding area is kept clean and safe at all times.
- First Aid kits must be on hand at each Exhibitor site. All roadways must remain clear of all structures, sign boards etc for emergency vehicles.
